Graduation Steps (Undergraduate Students)

 

Our key responsibility in the Office of Records & Registration is to serve our students the best possible way we can and to provide them with a continuously exceptional experience. This includes the process of preparing our undergraduate students for graduation. By educating and encouraging students to take the following steps, we hope their pathway towards graduation is a success!

ALL STUDENTS MUST APPLY TO GRADUATE. 

GRADUATION APPLICATION DEADLINES ARE:

  • August Graduation -or- December Graduation: Must apply by February 1st 

      • Apply by February 1st for August Graduation  -or-  December Graduation

  • May Graduation: Must apply by September 15th

 

    To help ensure successful completion of the requirements for graduation, we recommend that students:

     

    #1. Check Wingspan/Degree Works to be sure that the following information is accurate.

      •  Major
      •  Concentration
      •  Minor
      •  Catalog Year

    If the information is incorrect, please visit your Student Services office to update your information.

     

    #2. Complete the degree requirements specified on Degree Works, and in your undergraduate catalog, including your concentration or minor if applicable.

     

    #3. Review your Degree Works with your advisor and determine an expected graduation term.

    • Students should begin the graduation process upon having 35-37 hours remaining to complete your degree.

 

The Four Step Graduation Process: 

    Apply for graduation the semester prior to your graduation term.

     

    GRADUATION APPLICATION DEADLINES:

    • Apply by February 1st for August Graduation  -or-  December Graduation

    • Apply by September 15th for May Graduation

    Graduation Application Fees:

    Undergraduate $50
    Undergraduate $50 PLUS $25 Late fee after first established deadline
    Undergraduate $50 PLUS $50 Late fee after established deadline during semester of anticipated graduation

    Instructions to Apply

    Once your application is processed, your status on your Degree Works will change to "GRADUATION STATUS: Graduation Application Received".

    Apply for Graduation through Wingspan.

    NOTE: Diploma orders are based on the information provided on your application. The name entered in "Diploma Name Selection" is the name that will appear on your diploma. It will be printed exactly how you enter it.

    In preparation for meeting with your advisor and registering for your final term, a PRECLEAR REVIEW EMAIL will be sent by the Office of Records & Registration to all degree applicants with instructions to check Degree Works to ensure that all degree requirements will be met.

    Once this email is sent to you from our office, your status on your Degree Works will change to "GRADUATION STATUS: PreClear Review".

    During this step, you should meet with your advisor to prepare for registering for your final term.

    The degree requirements that are “Still Needed” will need your attention to plan your course schedule accordingly. 

    “Still Needed” requirements can be resolved through registration for those courses, substitutions, and/or petitions, etc. 

    Please discuss with your advisor or student services best action if you are unsure.

    In order to graduate, you must successfully complete all of your degree requirements, including:

    • GPA requirements
    • General Education requirements
    • Cultural Events requirement
    • Major, Concentration, and Minor requirements
    • Hours Above 299
    • Minimum Required Degree Hours
    • Resolution of all incompletes
    • All “Still Needed” requirements

    If you find our records do not agree with yours, please email us at uggraduation@winthrop.edu or call the Office of Records & Registration for additional assistance.

    A Graduation Term Check will be completed during your final semester, by the Office of Records & Registration.
    Once the Graduation Term Check is completed an email will be sent to you and to your advisor from the Office of Records & Registration, stating whether you are on track to graduate or if you have any pending issues that need to be resolved by graduation.

    Once this email is sent to you and to your advisor from our office, your status on your Degree Works will change to "GRADUATION STATUS: Graduation Term Check".

    During this step, if the Graduation Term Check email notifies you of any outstanding/pending issues please be sure to resolve your issues as quickly as possible. 

    Contact your Student Services office for assistance.

    In the Fall and Spring semesters degree candidates are cleared for graduation beginning the Thursday prior to the commencement ceremony, by the Office of Records & Registration.

     In the summer, all August degree candidates are cleared the day of graduation.

    Once all your final grades have been reported and you are successfully cleared for graduation, your status on your Degree Works will be checked off and will state "GRADUATION STATUS: Undergraduate Degree Awarded".
     

 

Failure to Apply:

Failing to apply for graduation on time may result in the following:

  • Taking the wrong classes, resulting in a later graduation date.
  • Taking unneeded classes, resulting in added expenses.
  • Not being cleared to graduate, resulting in a degree not being awarded.
  • Late fees incurring with a late application for graduation.
  • Not being admitted on a timely basis (or at all if lacking requirements) to graduate programs.
  • Not having a diploma available upon graduation because of late ordering.
  • Not having your name in the Commencement Program.
  • Having no reader card (used to announce your name) printed for the ceremony.
  • Not having your name printed in your town newspaper listing graduates.
  • Risking difficulty in obtaining employment because confirmation of a degree being awarded can not be given.
