Copiers

FAQs

How long will the stated costs be in effect?

The 4.5 cents for black & white and 20 cents for color rates will be in effect through the end of FY25. An annual rate analysis will be performed going forward to determine if adjustments in the cost structure make sense based on usage.

Will students who work in a department be able to use the copier?

Yes, student employees will be able to use the departmental code to release jobs at the copier. E-mail Printing Services if you need a student account set up for your budget.

What paper types will be provided through Central Receiving?

Only 8.5x11 (letter) and 11x17 (tabloid/ledger) copy paper will be provided.

Who will request more paper for a department?

Paper supply will be monitored by the copier, but each department should designate someone to check the paper supply and submit an order when the supply is running low. Order paper by submitting a work request to Facilities Management.

How can we log into the new machines?

There are two ways for faculty and staff to log in to your account on the new copiers. 1) Your Winthrop username and password 2) your Winthrop ID card with proximity scan.

In order to use your Winthrop ID card to log in, faculty and staff will need to first determine if they already have a proximity scan ID card. To do that, look at your existing ID card. On the back side, on the bottom left under the swipe bar, if you see HID, you already have a proximity scan ID card. Hold the card near the card reader on the copier – the first time you use it, you will have to log in with your Winthrop username and password as well to associate the ID card with your Winthrop account.

If you check your ID card and it does not have HID in small letters in the bottom left corner on the back side of your ID card, faculty and staff can go to Technology Services in the basement of McBryde to get a new proximity scan ID card. You will need to bring your old ID card and ask Technology Services staff for a replacement proximity ID card. There is no charge for this.

You can go to Technology Services any time they are open, but if you can wait until January, that is preferred.

How can I ensure that my confidential print out remains confidential?

You must physically release your print jobs with your ID card or code at the machine.

Will someone working remote be able to print to a copier?

A person can send a print job and release it within 24 hours. We are looking into a way to submit a print and authorize another person to pick it up at the copier.

What happens if I forget my job or it is otherwise left in the queue?

All jobs will be purged after 24 hours if they are not released to print.

What if I have multiple budgets?

Once you log in to the machine, you should see each budget that you work with in a list. If you do not, e-mail Printing Services to have them add the budget that is missing to your options.

Can I purchase my own printer to use in my office or department?

Per the revised Acceptable Use Policy, the following are not permitted:

6.1.16 Using or installing software not licensed or approved by the University’s Computing and Information

Technology Department.

6.1.17   Installing or using hardware or peripheral equipment not specifically approved and authorized by the University’s Computing and Information Technology Department or using approved equipment in a manner inconsistent with the approved purpose for which the equipment was installed.

In general, employees should limit the use of personal equipment in a work setting.

What exceptions will there be for keeping current printers?

There will be exceptions for ADA compliance and possibly other considerations, but the process will be stringent to justify an exception. Printers allowed as exceptions will be monitored and charged at a separate, and higher, rate.

What if I recently purchased a printer?

All printers are Winthrop property. When a printer is removed that has been newly purchased, it will be redeployed for use in areas approved for an exception.

Since these copiers will all be networked, will everyone have access to all of the machines?

Yes, you will be able to print to any copier. We are working to ensure that all copiers will be readily accessible to users.
