Copiers

FAQs

The 4.5 cents for black & white and 20 cents for color rates will be in effect through the end of FY25. An annual rate analysis will be performed going forward to determine if adjustments in the cost structure make sense based on usage.

One person from each department should be designated to order supplies.  To order paper, complete a Facilities Work Request through the TMA system. To pick up toner and staples, stop by Printing Services in 105 McBryde or email printingservices@winthrop.edu with your need to have it delivered to you.

Only 8.5x11 (letter) and 11x17 (tabloid/ledger) copy paper will be provided.

There are two ways for faculty and staff to log in to your account on the new copiers. 1) Your Winthrop username and password 2) your Winthrop ID card with proximity scan.

In order to use your Winthrop ID card to log in, faculty and staff will need to first determine if they already have a proximity scan ID card. To do that, look at your existing ID card. On the back side, on the bottom left under the swipe bar, if you see HID, you already have a proximity scan ID card. Hold the card near the card reader on the copier – the first time you use it, you will have to log in with your Winthrop username and password as well to associate the ID card with your Winthrop account.

If you check your ID card and it does not have HID in small letters in the bottom left corner on the back side of your ID card, faculty and staff can go to Technology Services in the basement of McBryde to get a new proximity scan ID card. You will need to bring your old ID card and ask Technology Services staff for a replacement proximity ID card. There is no charge for this.

Once you log in or ID swipe into your copier and choose one of the functions (Print Release, Device Functions to Copy, or Scan), you will see “type account name” and a search bar. Below the search bar, you will see all of the budgets for which you can make copies and/or prints to. Ignore the search bar. Choose the budget you want the copy and/or print to charge to. Most people will only see one budget, but some people work with several budgets. The people who work with several budgets will see a list.  In addition, you will need to select a budget in order to scan. However, scanning is free and does not cost the budget anything. You will still need to select the budget to scan. If you need access to a budget that is not listed, email printingservices@winthrop.edu.

The Printer Name for the new copiers is “Copier on print2022”. This printer was automatically added to your list of printers by IT staff. You may want to make it your default printer, though by going to Settings, then Devices, then Printers on your Windows machine. If Copier on print2022 is NOT in your list of printers, contact the IT Helpdesk.

When you choose Copier on Print2022 as your printer, you are printing to a campus-wide queue. You can walk up to any machine, log in with your Winthrop username and password and print out your document by clicking on Print Release. It will not print until you log in at the device, and no one else will be able to see the job name in the print queue.  This is secure and private.  If your machine is down, perhaps there is another one in your building that you could use. The new copiers can print in COLOR, but it does cost more than black and should be used sparingly. The default for printing is set to grayscale and you will need to go into your settings, before printing your document, and change the color setting to Auto Color to allow it to print in color.

Log into the machine. Choose Device Functions button. Choose your budget (skip over the search bar and choose from the list below it). Choose Copy.  Enter your quantity under No. of Sets near top of screen. Change color mode (auto color is the correct color made if not wanting black and white), finishing, duplex, and any other settings along the bottom of the screen and then press the start button on the device.

There is a button on the left side of the screen – that does not turn the copier off, but just puts it to sleep.  The button to power down the device is on the right side of the device, underneath a plastic cover.

Yes, when you print to “Copier on print2022” your copy job will go into a campuswide print queue. You may walk up to any machine, log in (via username and password or ID card) and release your print job.

You must physically release your print jobs with your ID card or code at the machine.

All jobs will be purged after 24 hours if they are not released to print.

A person can send a print job and release it within 24 hours. If you need to be able to print to the copier and have another individual pick up your print, email printingservices@winthrop.edu and we can set up another person as your print proxy.

Email printingservices@winthrop.edu if you need to add new employees in your department to your printing budget. If an employee has moved from one department to another, Printing Services can make that billing adjustment as well.

Once you log in to the machine, you should see each budget that you work with in a list. If you do not, e-mail Printing Services to have them add the budget that is missing to your options.

Yes, student employees will be able to use the departmental code to release jobs at the copier. E-mail Printing Services if you need a student account set up for your budget.
